The basic requirement is to connect the PowerShell with SharePoint. Run the below command in PowerShell to  connect to SharePoint online before running the scripts.

A popup will show to enter the credentials of the user. After successfully entering the credentials the PowerShell will be connected to the SharePoint online.

The next step is to enter the script in notepad mentioning the Theme name, List name and description.

Now save the file with a random name in “.JSON” format to any document library of your PC.

Again go back to PowerShell and run the .JSON script by adding a title to get an id of the executed process.

Next is to execute another command in PowerShell by adding a design name and previous id created to add it to SharePoint online.

Finally, go to SharePoint and create a new Team site and click on “choose a  design” now the newly customised design can be seen as shown below.

Thus the SharePoint custom site design has been created from site script.

Do you want to control the sharing of items by the domain and know whether it is possible for sites like gmail.com or xyz.com? Yes! it is actually possible. There is a feature available now in the SharePoint Admin Center that allows you to block the sharing of items to a particular domain. This article will explain how you can limit external sharing by domain in SharePoint Online.

Working

Actually, you can add a few domains in SharePoint Admin Center as reliable domains or blocked domains. Before sharing,  the system will identify them and either share if the domain is trusted and block  sharing to the other domains. That means , any domain that is not on the list won’t be able to share anything externally.

For instance, If the domain gmail.com is added to the list of blocked domains and when a user tries to share anything externally to gmail.com that user will receive an error message. This  blocking can be done on the site level or tenant level.

Steps to block domains at a Tenant Level

1. Click on the apps menu and navigate to the Office 365 Admin Center.

2. Click on “SharePoint Admin Center” under “Admin Centers”.

3. Under Policies, click on Sharing.

4. Click to expand “More external sharing settings” drop-down.

5. Select the checkbox “Limit external sharing by domain”. As soon as you select the checkbox a new “Add domains” button will appear.

Click on the Add domains button, on the pop-up screen on the right, you can allow or block specific domains using a radio button. Type the domain name (here gmail.com) and, click Save.

6. Click the “Save” button beneath the “Other settings” to save the changes you have made.

How to block domains at a Site Level

To allow the external sharing to a specific domain for a specific site and not the whole tenant site-level this  Share point online blocking is helpful. Below are the steps to do that.

1. Click on the apps menu and navigate to the Office 365 Admin Center.

2. Click on “SharePoint Admin Center” under “Admin Centers “.

3. Under Sites, navigate to “Active Sites”. Check the box next to a site, click “Sharing”.

4. Then select “Advanced settings for External sharing” and tick the checkbox “Limit sharing by domain”.

5. Here a pop-up will appear and, in the box, you can specify domains to block and click on save.

When you Try to Share Content Externally

When a user tries to share a content with a domain that has been blocked, that user will get an error message that your organization doesn’t allow items with users from this domain.

Items you can move and copy in SharePoint and One Drive

You can move any files and folders in your SharePoint Document Libraries or OneDrive.
Also, you can save or move links and files stored in your SharePoint Document Libraries or OneDrive.

Three ways you can move and copy content:

1. You can copy/move within the same library in SharePoint
2. You can copy/move to your OneDrive from SharePoint
3. You can copy/move to another SharePoint Site from SharePoint and One Drive

Before You Move & Copy Documents in SharePoint

Before you start moving documents, you must follow the SharePoint sites you want to move the content to.

This will allow you to select the destination site from the massive list of sites you have in your SharePoint.

The Follow button can be found on the upper-right-hand corner of the screen. The following sites will be shown at the top when you perform a move or copy.

How to Move & Copy

When the move operation is done the files/folders from the site are moved to a destination site.

It physically deletes and relocates the files/folders to the site where you want to keep them. The move operation will maintain the file contents and version.
When the copy operation is done the files/folders from the site are copied to a destination without removing the original file from the source site.

The copy operation will only copy the latest available version of the file.

Steps

1. You will find check boxes next to the file and folder you would like to move or copy.

2. Select the check boxes and choose either Move or Copy, depending on what you want to do.

3. From the site select the location appearing on the right-hand-side panel, select the appropriate folder to move.

4.If you do not see a site to move. click on browse sites and choose one of the sites where you want to move the item. You can also create folders here.

5.If your destination site has many libraries or folders, you will need to navigate through different sub-folders to find the destination folder. After entering the desired folder click on move here.

6.Once the file operation is complete you will get a notification that the file moved or copied.

Copy/Move Very Large Files

For moving very large packets of information, One Drive Sync is the best option. One Drive sync will then resync everything to SharePoint.

You can always use commercial third-party migration tools to move large volumes of data without any cut-off.

In order to use the excel as a data source in power apps, excel must be in a cloud storage account such as OneDrive, Dropbox or Google Drive. In this demo, OneDrive is used as a cloud storage account.
Upload the Excel into the Office 365 OneDrive as given below in the screenshot.

It will ask you to upload the file from your machine, choose the Excel file which contains table with which you want to create an application.

Once the Excel file is uploaded to the OneDrive, switch to power apps portal. Choose the template as a canvas app and choose OneDrive for business from the list of connection and Click connect.

It will list all the available files in the OneDrive, choose Excel that contains data in table format. Once it is done choose the table and click connect as given below in the screenshot.

Once the app is loaded, you will be able to view the editor page of the mobile application with the data inserted from the excel file which is given in the below screenshot. Now you can customize your app.

Huge Number of Items in a Document Library

In the past, exceeding 5,000 items in a library,  almost became unusable. With the modern improvements and modern document library and auto-indexing, now you can store more than 5,000 items. Large numbers of items in the library encounter performance issues, slow library or unable to sync with OneDrive.

It also ends up in failing to perform certain operations, like setting up permissions, renaming a file, moving or copying multiple files.  Time will fly by if you sync these large libraries to your computer.

How to Ease

Never fill up more than 20k-30k files and folders into a single library.

Avoid creating a large number of libraries inside other libraries and filling up contents.

Create multiple libraries and spread the content over multiple sites and libraries.

400 Character URL Limit

When users migrate or share files to SharePoint Online, multiple layers of folders are created. As you create multiple folders and subfolders in a document library the URL path to the content becomes longer and longer. The limit for the relative URL in SharePoint online is 400 characters. Once you exceed the limit you will start getting the error messages.

The 400-character URL limit is applicable to the relative path of your folders or documents. The character limit includes the length of your document library name, folders, and the file. It does not count the characters in the site URL itself.

For example, if your site URL is https://websitename.com/sites/demo, which has a folder called “Documents” in it, just the cumulative length of the folder path/Documents counts towards the 400-character limit. The URL of the site itself does not count to the limit. So even if you have a very long site name, you don’t have to bother.

Sync Limit on OneDrive Sync

The number of documents you can sync using OneDrive sync is 300,000. In order to make files more reliable users are forced to sync data within their One Drive.

According to Microsoft, this limit cannot exceed 300,000 across all locations being synched. To make it more accurate this is the recommended limit. The OneDrive wheel spinning all the time and not able to finish the sync.

The Files might not get synced to SharePoint and to OneDrive. This is very common while syncing hundreds of thousands of files across many SharePoint sites/libraries.

Recycle Bin Limit 93 Days

The deleted documents and other contents all end up in the Recycle Bin. By default, for SharePoint, you can recover content from there before 93 days.

There are  no default backup solutions available in SharePoint Online/Office 365 after 93 days. The only thing you can do is constantly check the recycle bin whenever possible.

You cannot recover the content they deleted by accident 4 months ago.

What is the need for converting Excel to SharePoint list using Access?

In certain use cases like an old SharePoint list can be migrated to online by exporting the old file to excel. By this technique, the old version can be easily converted to excel. In the case of very large excel files, these exported files cannot be directly imported as SharePoint lists. In such situations, you can first import the old list data to an excel file, then import the excel file to MS Access and then export the data back to a new Sharepoint list in the online version.

How to import tables from Excel to SharePoint list is done.

• First, install Microsoft access on your personal computer.
• Make sure that all the old SharePoint lists are converted to respective excel files and stored on your machine.
• Open MS Access on your machine and create a new database and name it accordingly.
• Create a new table on the newly created database.
• Right-click on the new table “Table 1” and select “import excel”.
• Now select the excel file you want to import from the machine and click open.
• Save this to your database and give the document a different name “Table 2”.
• Now double click on the table containing data and verify all the contents are imported correctly.
• Right-click on Table 2 which contains data and select export to transfer the data to the SharePoint list.
• Give the URL of the Sharepoint site, name of the list to be created to export the data. Now enter the credentials of your site and click import.
• Now the data will be successfully exported to the newly created SharePoint list.

The main advantage of this technique is to convert a very large old SharePoint list or excel file to Sharepoint online without data loss or data corruption.
